Who holds your information
Table Wave handles information you send through this website and during event planning. Our address is Office 13, 526 Victoria Street, Hamilton Central, Hamilton 3204, New Zealand.
For privacy questions or to request access or a correction, email [email protected] or call +64 7 007 5628. We handle personal information under the New Zealand Privacy Act 2020.
What we collect and why
The enquiry form asks for your name, company, email, phone number and event details, including the type, date, location, guest count, budget and message. Name, email, event type, guest count and message are required so we can respond. The other fields are optional.
We use these details to answer your enquiry, prepare a quote and organise an event you book. Later correspondence may include venue contacts, booking records, artwork and instructions for the day. We also keep information needed to resolve questions, protect the service and meet legal obligations.
Please share only what is needed for the event. For guest access needs, describe the arrangement that would help without sending medical histories or other sensitive details. If someone else provides your personal information, we will explain how it will be used and your rights, unless the law allows an exception.
An enquiry does not subscribe you to marketing.
Who receives it
The people handling your enquiry and booking use your information. Our hosting and email providers process it to deliver the website and correspondence. Event suppliers may receive the details they need to carry out the services you book.
We may also share information with your permission or where the law requires or allows it. We do not sell enquiry information.
Service providers may store or process information outside New Zealand. Where overseas disclosure rules apply, we take steps to ensure appropriate privacy protections are in place.
Information stored by the website
An essential session cookie helps protect the enquiry form and display the submission confirmation. It lasts for your browser session; confirmation remains available for up to one hour. The cookie does not contain your enquiry message.
There is no connected analytics or advertising service. Our hosting provider may keep ordinary security and access logs, such as IP addresses and page request times. See the Cookie & Tracking Notice for cookie information.
Security and retention
We take reasonable steps to protect personal information and limit access to those who need it. Enquiries are delivered to our business email service. No internet or email service can be guaranteed completely secure.
We keep information for as long as needed to handle the enquiry, deliver booked services or meet legal record-keeping requirements. When it is no longer needed, it should be securely deleted or de-identified. The retention period depends on the type of record.
Your rights
You can ask what personal information we hold about you, request a copy and ask us to correct it. Contact us using the details above. We may need to verify your identity before releasing information.
We generally respond to access and correction requests within 20 working days, subject to lawful extensions or exceptions. If we do not make a correction you request, you can ask for a statement of that correction to be attached to the information.
If you have a concern, contact us so we can investigate. You can also complain to the Office of the Privacy Commissioner.
