A brief your team can approve

An effective brief identifies the event owner, the audience, the budget and the decisions that need approval. Share the reason for the function, any non-negotiable messages and the people who must sign off artwork, production and the final programme. We can then organise the proposal around those responsibilities.

If your company is working with an agency or venue coordinator, tell us who controls the wider event. We can define our scope within their plan, agree the communication route and avoid duplicated work. One consolidated running order helps keep suppliers and speakers aligned.

Branding that supports the experience

A branded welcome, backdrop or display can help establish the occasion without overwhelming the room. We consider where guests arrive, where they naturally gather and what will appear behind a speaker or in photographs. Position and scale matter as much as the artwork itself.

Send usable brand files, guidelines and any required approval dates. Custom printing, staging, fabrication and technical production are quoted according to the agreed scope. Changes after approval may affect lead time and cost, so we confirm their impact before proceeding.

A hosted table, quiz round or collaborative challenge can give colleagues a shared starting point. It should fit the group rather than interrupt every conversation. We discuss whether your guests would enjoy structured rotations, open participation or a short activity between formal parts of the evening.

For a Christmas function, the programme might begin with an arrival period, move into a brief company acknowledgement and then open into a themed social activity. For networking, smaller groups and simple introductions may work better than a long competition.

Ask guests about access or participation needs through your usual event communication. Share only the practical arrangements we need to make, rather than detailed personal or medical information. The plan can then account for seating, circulation, sound and quieter participation options.

Presentations that have room to breathe

Awards and launch moments need an accurate order, correct names, agreed cues and enough time for people to move. We discuss the presentation area, microphone arrangements, display requirements and how the host will receive updates. Any rehearsal or technical check should be allowed for in the venue access schedule.

Your company remains responsible for the accuracy of award decisions, product claims, brand permissions and presentation content it supplies. We coordinate the agreed event elements and identify any specialist support needed. Photography, filming, broadcast and complex audio-visual production require their own confirmed scope.

A practical proposal for procurement

The proposal should show which people, equipment and planning tasks are included, with optional elements separated from the core event. Let us know if you need a purchase order, a particular invoice reference or a nominated contact for financial approval. We will discuss these requirements before the booking is confirmed.

Venue hire, food, drinks, specialist technical services and travel can materially change the budget. We identify who will arrange them and include only the items expressly agreed. Payment dates, any deposit, change arrangements and cancellation terms are set out before acceptance rather than assumed from a headline price.

A starting point for your event budget

Corporate production planning starts at NZ$2,800, with an indicative range of NZ$2,800–6,500 for the formats described. The starting scope is a compact three-hour event for up to 30 guests at a suitable supplied venue, with planning, a coordinator/host, a simple branded focal point and basic presentation support. A few practical questions.

Can you work with our internal events team?

Yes. Tell us who owns the event and which elements you want Table Wave to organise. We can agree a defined scope and a shared running order. Artwork approval, guest communication, venue bookings and other supplier arrangements should each have a named owner.

Can we combine awards with a social activity?

Yes. We recommend protecting the presentation block so guests can hear and see it properly, then moving into the activity. The precise sequence depends on meal service, room layout, speaker availability and the venue’s finish time.

Do you provide catering or alcohol?

These are not included in the indicative event scopes. We can coordinate the timing of separately arranged catering within the programme. Any alcohol supply must be handled by an appropriately authorised venue or provider under the arrangements that apply to your event.

Can our branding appear in the room?

We can discuss welcome signage, photo backdrops, display areas and selected event details. The production method and price depend on artwork, dimensions and lead time. Your team approves the final files and confirms that it has permission to use the material.

Is this suitable for a full conference?

Our service is designed for intimate events and themed components for up to 40 guests. Tell us which part of your conference or networking programme needs support. We will assess the proposed scope rather than assume we are supplying a larger conference venue or full production infrastructure.

Can you organise a last-minute Christmas function?

Send your date, guest count and venue as soon as possible. Feasibility depends on crew, equipment, access and production time. A simpler styling or activity plan may be easier to arrange, but availability is only confirmed through the written booking process.

What if our programme changes?

Contact us promptly with the revised guest count, timings or scope. We will explain any effect on staffing, equipment, availability and cost before agreeing the change. The final event plan and any amended price should be recorded in writing.
